Terms of Service
Last updated: 5 November 2026
These terms govern your use of Project Khata, the construction-expense ledger available at projectkhata.com and app.projectkhata.com. By signing in to or using the service you agree to them. If you use it for a company, you confirm you may accept them for that company.
1. Who provides the service
Project Khata is operated by Bilal Tahir ("we", "us"). You can reach us at [email protected].
2. What the service is
Project Khata lets construction developers and their site teams record contracts and payments, keep a ledger of them, track budgets and balances, and (optionally) use WhatsApp for payment confirmations, scheduled summaries and a chat assistant. It is a cost-control tool. It is not accounting, tax, payroll, legal or financial advice, and it does not replace your accountant's software.
3. Accounts and roles
- Accounts are created by us for project managers, or started by a person as a free trial. A project manager can give other people access to a project as Manager, Supervisor or Investor. Each role sees and can do only what that role allows.
- You sign in with your mobile number (or email) and a password. Keep your password private. You are responsible for what is done with your sign-in.
- Give access only to people you trust with the information they will see. Tell us promptly if you think an account has been misused.
- The number of projects an account may have is set by us per account.
4. Your responsibilities
- You are responsible for the accuracy of what you or your team record, and for checking figures before relying on them.
- You must have the right to record the information you enter, including details about contractors, suppliers and other people.
- Do not use the service unlawfully, to harm others, to send unwanted or abusive messages, or to try to reach information you are not given access to.
5. The ledger is permanent by design
Ledger entries cannot be edited or deleted once saved, not by you, your manager or us. A mistake is corrected by a reversal entry; the original and the reversal both stay visible. Please enter payments carefully. Because of this, a record of a payment generally cannot be removed on request. See data deletion.
6. WhatsApp features
- Consent. Before we message a contractor or supplier on your behalf, you confirm that this person agreed to receive WhatsApp messages from us. Do not confirm that unless it is true. We record who confirmed it and when.
- STOP. Anyone can reply STOP to stop our messages. We honour it for every account at once, and you cannot override it.
- Meta's rules. Messages are carried by WhatsApp, a service of Meta, whose own terms and policies also apply to them. We cannot guarantee that a message is delivered, read or answered.
- Allowances. WhatsApp features are optional, switched on per account by us, and may have a monthly message allowance. When it is used up, new requests may be held or refused until it is increased or renewed.
- The assistant. Entries made by chat are saved only after you type YES to the exact draft shown. You remain responsible for checking that the draft is right. Understanding of free-form text and voice can be wrong, which is why nothing is saved without your typed approval.
7. Free trials
- A free trial has a limited length and a limited number of projects, set by us.
- A trial does not let you add other people to your account. WhatsApp features are available to a trial only if we switch them on for it, and then within a small message allowance.
- When a trial ends, the account is locked. Its information is not deleted at that moment. We may convert, extend or end a trial, and we may release a mobile number used for a trial.
8. Fees
We will tell you the price and what your selected plan includes before you subscribe.
9. Availability and changes
We work to keep the service available but do not promise it will always be uninterrupted or free of errors, and it needs an internet connection. We may change or discontinue features.
10. Suspension and ending
We may suspend or end access to an account, a project or a person's access, for example for misuse or a security risk. Suspension stops access at once; it does not delete the information. You may stop using the service at any time and may ask us to close your account (see data deletion for what happens to information).
11. Your information
You keep ownership of the information you enter. You give us permission to process it to provide the service, as described in the Privacy Policy. An account holder can export the Final Ledger to a spreadsheet at any time.
12. Changes to these terms and contact
When these terms change in a way that matters, we will update the date and tell account holders. Questions: [email protected].
